The secretary shall attend to all correspondence and the giving of notices required by the bylaws or as directed by the executive or board of directors and prepare and keep the minutes of all meetings of the members, the executive and board of directors and keep the minutes of all meetings of any standing or special committee. The secretary shall keep in safe custody the corporate seal of the Association. The secretary shall have charge of the records of the Association including a list or lists containing the names and addresses of directors of the Association and of regular and associate members of the Association.
The treasurer shall have general charge of the finances of the Association and present at each annual general meeting a budget for the coming fiscal year and a statement with respect to the financial affairs for the Association for the past fiscal year. The treasurer shall deposit all moneys and other valuable effects of the Association in the name and to the credit of the Association and shall promptly pay all invoices and accounts of the Association.
The media coordinator is the media contact person for the Association. In conjunction with the chair or the chair’s designate, the media coordinator shall prepare news releases, coordinate interviews and news conferences on behalf of the Association prepare and approve all communications with media for the Association and shall attend to all matters of communications for the Association. The media coordinator shall prepare and/or approve any newsletter to members and shall be responsible for the maintenance and update of the Association’s website. English and French written and spoken is a must.
In conjunction with the secretary, the volunteer/membership coordinator shall keep a list or lists of members of the Association, shall attend to the recruitment of members and to all matters relating to membership in the Association, and shall keep a list or lists of volunteers for all events of the Association and shall attend to the recruitment of and to all matters relating to volunteers. Development of a strategic plan to increase the volunteer and membership base.
The vice-chairperson shall assist the chairperson in the general control of and supervision of the affairs of the Association and in the absence of the chairperson, the vice-chairperson shall share the duties and the rights of the chairperson. The vice-chairperson shall alternately preside all meetings of the executive and board of directors. Each vice-chairperson shall, in equal number, be ex-officio member of all standing and special committees of the Association. Excel in open communication, delegation and have sound ability in the decision making process.
